For bulk import/ upload of data users have to follow three high-level steps and their sub-steps:
(a) Steps to get prescribed excel template for bulk import:
1. Login: Authorised users have to log in with a given URL, ID and Password.
2. Select Company: If you have more than one company and subscribed TYASuite multi-company module then click on that particular company on which you want to work. If you have not subscribed to the multi-company module then skip this step.
3. Drag your cursor to the left side menu bar and click on the "Master Data" Menu. A list of all masters related to your company will be open. Click on 'Products Master'. or
4. Users can directly search that master from the search option available on the top-right side by typing 'Products Master'. Out of search results click on the "Products Master" menu.
5. You will land on the "Products Master" menu page. To download the prescribed excel template click on the 'Import' button sign, after that click on the 'Download' button.
(b) Steps/ Instruction to enter data in prescribed excel template:
1. Two excel files will be get downloaded (if system/browser ask to allow multiple file download then provide excess/allowed), (i) one excel with instruction to enter the data (row no.2 of excel file) this file is only for instructions and will not be used for updated/uploaded the data, and (ii) second file without instructions. The without instruction excel file will be used to update and upload data (any prefilled sample data need to be deleted before saving the excel template).
2. In the downloaded excel template you will get the following column/fields: "Product Code*, Product Name*, Product Description, Unit Type*, Product Category etc.."
3. Fields/columns marked as star (*) are compulsory to enter and other columns are optional. Users have the option to make some fields compulsory or optional and enable/ disable some files based on the company requirement from Company Setup Menu.
4. Please read instructions/field validations carefully (mentioned in row no. 2 of 1st downloaded excel instruction file) and enter valid details/data of all products in the respective columns in the 2nd excel template only (without the instruction file).
5. Enter data in the respective column/field and save the excel template (dummy/ prefilled data, if any, need to be deleted) for all the products, for which the user wants to upload in TYASuite.
(c) Steps for bulk upload/import master data in TYASuite ERP:
1. In the "Products Master" menu To upload product master data user needs to click on the 'Import' button sign, and click on the 'Upload File' button to upload the already saved excel template.
2. Select the saved template file from your system to upload. All filled data/columns of that excel file will be captured by the system and a preview of the same will be available.
3. User can check the data before it gets saved/uploaded to the system as a preview. The correct captured data will show under the tab "Here Are Imported Products", if all data is correct then the user can click on 'Add to List to successfully import of correct data.
Data which is not in the proper format or not correct value will be shown in red colure under the tab "Here Are Wrong Imported Products" as a preview. If the user found that the captured data is incorrect, or all data is not captured, then the user has to click on the 'Cancel' button to abort the upload operation and again open/check that excel file with each field instructions/validation properly. After all column validation user will save the file and repeat the above steps to upload the corrected data.
